How Polished uses your details
Last updated 25 October 2026
Who I am
Polished is run by Gabriel Miller, a sole trader in England. I'm responsible for any personal details you share with Polished. You can contact me at GetPolishedUk@gmail.com.
What I collect
- Your name, business name, trade, town, email and phone number, when you fill in the form or email me.
- Information that's already public on your Google listing, Facebook page or website, when I make your free preview.
- Our messages, and notes about what we've agreed.
- If you become a client: the details, photos and text for your website, what I need to invoice you, and any access you give me to your domain, hosting or Google listing. I hand all logins back to you at the end and don't keep copies of your passwords.
Why I use it, and the legal basis
- To make your free preview and reply to you. You asked me to, and it's in both our legitimate interests.
- To contact businesses about my service. When I contact a business first, I use publicly listed business details, keep it relevant, and stop as soon as you ask. This is my legitimate interest in finding clients.
- To do the work you've agreed to and invoice you. This is needed to perform our agreement.
- To keep financial records. The law requires it for tax.
I don't sell your details, I don't use them for anything else, and I won't add you to a mailing list.
Who else handles it
I use a few services to run Polished, and your details may pass through them:
- Google (Gmail) for email.
- Netlify, which hosts this website and receives the form.
- Anthropic (Claude), an AI assistant I use to keep client notes and help draft website text and emails. I check everything before it's sent.
This website also loads its fonts from Google Fonts, which means your browser connects to Google. The site doesn't set any tracking or advertising cookies.
How long I keep it
- If you don't become a client: I delete your details within 12 months of our last contact.
- If you ask me not to contact you: I keep just your business name and email on a "do not contact" list, so I don't contact you again by mistake.
- If you become a client: invoices and payment records are kept for as long as UK tax law requires, usually at least 5 years after the relevant tax return deadline. Other notes are deleted within 12 months after our work ends.
Your rights
You can ask me to show you what I hold about you, correct it, delete it, or stop using it. Email GetPolishedUk@gmail.com and I'll reply within one month.
If you're unhappy with how I've handled your details, please tell me first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
